Add someone and get them started

Invites, roles, welcome messages, and what to do when someone can't sign in.

Adding a team member

  1. Go to People → Team.
  2. In the "Invite a team member" panel, enter their mobile number. This is the main way people sign in, so it's the one field that matters most.
  3. Add their name and email if you have them. Email is worth adding — it gives them a second way to sign in if a text doesn't arrive.
  4. Tick "Make this person an admin" only if they should be able to edit content and see everyone's records.
  5. Press "Send invite".

Row actions on the roster

ActionWhat it does
RenameFix a name or add an email after the fact. Use this when someone marries and changes surname.
Send welcomeRe-sends the welcome message. Useful for people who were set up before invites existed, or who deleted it.
Make admin / Remove adminGrants or removes access to the whole admin area.
Reset trainingClears their baseline and learning path so they can retake it. See below.
ReleaseRemoves platform access when someone leaves. Their training record is kept on file.

Resetting someone's training

Use this when a person rushed the baseline, guessed their way through it, changed role, or was set up wrong. It clears their assessment answers, module scores and learning path, and puts them back to the baseline so they can take it again properly.

What it does NOT clear: skill sign-offs, certifications, badges and XP history. If a supervisor watched someone place a catheter, that stays on the record — retaking a quiz is not a reason to erase it.

Assigning a role

A person's role decides which courses they're given. Roles are managed under People → Roles, and which courses each role receives is set there too. Someone with no role won't be given any training, so this is the first thing to check if a new person's dashboard looks empty.

When someone can't sign in

  • Sign-in codes go to every channel on file — both their phone and their email — so adding an email is the quickest fix for a text that never arrives.
  • The message contains a link they can tap as well as a 6-digit code. Tapping the link is easier on a phone.
  • Codes expire after 10 minutes. If they've been sitting on it, have them request a fresh one.
  • Tell them to check spam or junk mail. Work and university addresses filter hardest.
  • Text-message delivery is still pending carrier registration, so email is currently the reliable channel.
